Accounts Payable Specialist

Position Overview: The Accounts Payable Specialist will be a part of the accounting group, a fast-paced, friendly environment. The individual will play a key role in running the A/P function for a property management company.

Key Responsibilities:

  • Monitors daily Avid AP activity

  • Reviews coding and amounts charged on invoices processed in Avid

  • Batch approved invoices into Rent Manager software

  • Research any discrepancies  or invoices in dispute by checking vendor bills against vendor statements/proposals and resolve in a timely manner.

  • Obtain Vendor Certificates of Insurance when they expire

  • Responds to property manager and vendor inquiries on open invoices

·        Tracks all property insurance, mortgage and real estate tax billings and insures timely recording and payment

·        Tracks Broker Fees paid in installments

·        Accurately records all mortgage escrow account activity

  • Abstract new loans and enter pertinent and key data into the mortgage database

  • Performs monthly bank reconciliations

·        Processes monthly management fees billed to each property

·        Process tenant security deposit refunds

·        Maintain up-to-date vendor records with accurate billing and contact information that match their W-9.

·        Assist with month-end and year-end closing activities, including account reconciliations and financial reporting.

·        Provide support for audit related accounts payable questions.

·        Assist with other accounting and finance functions as needed.

Position Requirements:

  • Minimum of 3-5 years of experience as an Accounts Payable Specialist or in a similar role.

  • Strong knowledge of accounting principles, accounts payable procedures, and financial reconciliation.

  • A positive attitude and eagerness to learn and grow

  • Excellent analytical and problem-solving skills.

  • Highly organized and detail-oriented with the ability to work accurately in a fast-paced environment

  • Excellent communication and interpersonal skills

  • Ability to work on multiple projects simultaneously and juggle necessary deadlines

  • Ability to work independently and as part of a team

  • Proficiency in Microsoft Office (Excel, Word)

  • Working knowledge of Google Workspace (Sheets, Docs, GMail)

·        Candidates with experience in real estate property management is a plus but is not required
