Accounts Payable Specialist
Position Overview: The Accounts Payable Specialist will be a part of the accounting group, a fast-paced, friendly environment. The individual will play a key role in running the A/P function for a property management company.
Key Responsibilities:
Monitors daily Avid AP activity
Reviews coding and amounts charged on invoices processed in Avid
Batch approved invoices into Rent Manager software
Research any discrepancies or invoices in dispute by checking vendor bills against vendor statements/proposals and resolve in a timely manner.
Obtain Vendor Certificates of Insurance when they expire
Responds to property manager and vendor inquiries on open invoices
· Tracks all property insurance, mortgage and real estate tax billings and insures timely recording and payment
· Tracks Broker Fees paid in installments
· Accurately records all mortgage escrow account activity
Abstract new loans and enter pertinent and key data into the mortgage database
Performs monthly bank reconciliations
· Processes monthly management fees billed to each property
· Process tenant security deposit refunds
· Maintain up-to-date vendor records with accurate billing and contact information that match their W-9.
· Assist with month-end and year-end closing activities, including account reconciliations and financial reporting.
· Provide support for audit related accounts payable questions.
· Assist with other accounting and finance functions as needed.
Position Requirements:
Minimum of 3-5 years of experience as an Accounts Payable Specialist or in a similar role.
Strong knowledge of accounting principles, accounts payable procedures, and financial reconciliation.
A positive attitude and eagerness to learn and grow
Excellent analytical and problem-solving skills.
Highly organized and detail-oriented with the ability to work accurately in a fast-paced environment
Excellent communication and interpersonal skills
Ability to work on multiple projects simultaneously and juggle necessary deadlines
Ability to work independently and as part of a team
Proficiency in Microsoft Office (Excel, Word)
Working knowledge of Google Workspace (Sheets, Docs, GMail)
· Candidates with experience in real estate property management is a plus but is not required
