Job description
We are seeking a motivated Assistant Property Manager with luxury residential experience who is excited to contribute to the launch and ongoing operations of a new development while helping deliver an elevated resident experience.
Key Responsibilities
Resident Experience
Maintain strong resident relationships and ensure a high level of resident satisfaction.
Coordinate resident move-ins and move-outs with leasing, accounting, and building staff.
Respond to resident inquiries, requests, and service issues in a timely and professional manner.
Assist with resident communications regarding building updates, weather advisories, and operational notices.
Support resident onboarding, welcome gifts, and occasional resident events.
Maintain and audit resident emergency contact and operating hour information.
Building Operations
Coordinate apartment turns to ensure units are ready for leasing and occupancy.
Schedule building repairs and maintenance with outside vendors and ensure proper Certificates of Insurance (COIs) are obtained prior to work.
Monitor and manage work orders through ManageGo, ensuring timely completion and resident follow-up.
Maintain lobby directories, elevator displays, and building communication systems.
Track building equipment purchases and warranties in Rent Manager.
Assist with incident reporting and coordination of building safety drills and inspections.
Monitor compliance requirements and schedule inspections using SiteComply , Jack Jaffa and Rent Manager.
Financial & Administrative Support
Assist the Property Manager with preparation of operating and capital budgets.
Review and code invoices for processing through AVID.
Communicate with residents regarding account balances and rent inquiries.
Assist with bill-backs, lease administration, and tenant account adjustments.
Prepare lease abstracts and review leases for recurring charges or annual increases.
General Operations
Monitor inventory and ensure building supplies are ordered as needed.
Ensure common areas and building amenities remain organized and well maintained.
Utilize company platforms including Rent Manager, AVID, ManageGo, Slack, and Box.
Maintain organized digital records and assist with operational documentation.
Support the Property Manager with day-to-day building operations and special projects.
Job requirements
Qualifications
2+ years of experience in luxury residential property management or a high-end multifamily environment preferred.
Experience working at a new development or lease-up property is strongly preferred.
Strong resident service mindset with a hospitality-driven approach to property management.
Excellent communication, organization, and problem-solving skills.
Experience coordinating vendors, building maintenance, and work orders.
Ability to multitask and thrive in a fast-paced residential environment.
Professional demeanor with strong attention to detail.
