Leasing Administrative Role - Westmark

Bushburg Properties is seeking a detail-oriented, organized, and customer-focused Leasing Administrative Assistant to support leasing operations at Westmark. This role will provide administrative support throughout the leasing process while helping ensure that records, documentation, communication, and scheduling are handled accurately and efficiently.

The ideal candidate is dependable, professional, and organized, with strong communication skills and an interest in property management and leasing.

Leasing & Documentation

• Assist with preparing and maintaining lease agreements, applications, renewals, and other leasing documents.

• Organize and maintain accurate leasing files and records.

• Assist with tracking lease expirations, renewals, move-ins, and other important leasing deadlines.

• Support the leasing team with administrative tasks throughout the application and leasing process.

• Review documents for accuracy and completeness.

Resident & Customer Service

• Respond to inquiries from prospective and current residents by phone, email, and in person.

• Provide professional and helpful assistance with questions regarding applications, leases, move-ins, renewals, and general leasing matters.

• Help provide a positive and welcoming experience for prospective residents.

• Follow up with applicants and residents regarding outstanding documentation or next steps.

Data & Record Management

• Maintain accurate and up-to-date tenant and leasing information.

• Enter and update information in property management and leasing systems.

• Assist with maintaining organized electronic and physical records.

• Prepare and update reports, spreadsheets, and leasing-related information as needed.

Administrative Support

• Provide general administrative support to the leasing and property management teams.

• Assist with scheduling appointments, property tours, meetings, and other leasing activities.

• Prepare correspondence, reports, spreadsheets, and other documents.

• Assist with coordinating paperwork and follow-ups related to leasing activities.

• Support additional administrative projects as needed.

Team Collaboration

• Work closely with the leasing and property management teams to support daily leasing operations.

• Communicate updates and follow up on outstanding items.

• Assist with ensuring leasing processes and documentation are completed accurately and on time.

1. Bachelor's degree in Business Administration, Real Estate, Property Management, or a related field preferred.

2. Previous experience in leasing, property management, real estate, or administration is a plus.

3. Strong organizational and time-management skills.

4. Excellent written and verbal communication skills.

5. Strong attention to detail and accuracy.

6. Professional and customer-service-oriented approach.

7. Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.

8. Experience with Rent Manager or I Love Leasing is a HUGE PLUS.

9. Ability to learn and navigate property management and leasing software.

10. Ability to prioritize tasks and follow through on responsibilities independently.
