Job description

Position Summary:

We are seeking a polished and reliable Part-Time Administrative Assistant to support the day-to-day administrative and leasing operations at a luxury Class A building. This position requires excellent organizational skills, strong attention to detail, and a professional demeanor suitable for a high-end environment. The ideal candidate will provide both general office support and assist the leasing team with tenant relations and leasing documentation.

Key Responsibilities:

  • Welcome and assist prospective tenants, current residents, and visitors with professionalism and warmth

  • Answer and direct phone calls, respond to email inquiries, and schedule appointments for leasing tours

  • Assist with leasing processes including preparing lease documents, applications, and follow-up correspondence

  • Maintain accurate leasing and tenant records, both digital and physical

  • Support leasing team in tracking availability, renewals, and move-in/move-out coordination

  • Assist with preparing marketing materials, flyers, and promotional packets

  • Help coordinate property tours and ensure model units and common areas are tour-ready

  • Manage general administrative tasks such as filing, data entry, document scanning, and supply inventory

  • Maintain an organized, clean, and professional reception area

  • Provide support to the property management team for special projects and building events as needed

Job requirements

Qualifications:

  • Previous administrative or leasing experience preferred, especially in luxury residential or commercial properties

  • Excellent customer service and communication skills

  • Strong organizational and multitasking abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with property management software is a plus

  • Ability to handle confidential information and sensitive tenant matters with discretion

  • Professional appearance and demeanor

  • Self-motivated, dependable, and able to work independently
