Job Summary
The General Manager plays a crucial role in overseeing the efficient and effective management of a BUSHBURG residential, commercial or mixed-use portfolio. The following duties and responsibilities are integral to this position:
Tenant Relations:
• Promptly reply to tenant questions regarding invoicing, portal access and lease renewals.
• Coordinate tenant events within property budget constraints
• Conduct final inspections for vacated spaces and ensure prompt refund of security deposit
• Conduct regular visits to tenant spaces to maintain open communication and address any concerns.
• Provide regular updates to tenants during unit turn or renovation phase until completed
Compliance and Maintenance:
• Ensure services are performed in compliance with policies, procedures, regulations, and local law ordinances
• Perform regular property inspections, reporting repair issues and safety concerns to Ownership
• Recommend and oversee improvements, maintenance, and repairs as necessary
• Ensure proper preparation for seasonal weather changes and provide prep communication to tenancy regarding same
• Contract and supervise third-party vendor services
• Promptly coordinate unit-turns to meet immediate leasing and marketability requirements
• Review incident reports and promptly provide to Risk Management
Financial Management:
• Preparation of annual operating and capital budgets
• Solicit bids and evaluate vendor proposals
• Review and analyze monthly financials, explaining variances against current budget
• Accurate review and coding of invoices for prompt processing and approval
• Ensure timely collection of outstanding receivables and initiate collection or legal action when necessary
• Review timely bill-back and collection of all reimbursable charges to tenancy
• Review commercial lease abstracts for accuracy before submitting to accounting
• Audit tenant leases annually to guarantee that all increases have been captured in Rent Manager
• Seek low-cost and no-cost opportunities to decrease energy consumption
• Consistently present opportunities to upper management on ways to reduce contracted service expenses and materials purchases through discounts or economy of scale purchasing
Supervision and Staff Management:
• Provide formal supervision over on-site maintenance and administrative staffing
• Ensure that work order requests are responded to in a timely, reliable, and courteous manner
• Manage staff schedules to confirm proper day-to-day coverage, including after-hours, holidays, and vacations
• Enforce company employee policies and procedures, initiate disciplinary action when necessary, and participate in hiring and onboarding new employees
General Duties:
· Gain ongoing knowledge of software platforms utilized by the company, such as Rent Manager, AVID, ManageGo, SLACK and WRIKE
· Organize all files and save in BOX and not on computer drives
· Write standard works in Notions to update operational processes and information
· Understand and comply with company policies and procedures to maintain consistency in service delivery, reporting and communication
· Assist in showing spaces when requested
· Apprise Supervisor or upper management on any pertinent or potential legal issues
· Promptly attend and participate in all scheduled meetings related to the position or assigned properties
· Meet deadlines and tasks as assigned, setting own project deadlines responsibly
Job requirements
Education / BA or equivalent BOMA designation or 5-10+ years’ experience
Key Skills
Financial Management – Budgeting, expense reconciliation, CAM charges, and financial analysis.
Building Operations – Oversee HVAC, electrical, plumbing, emergency preparedness, vendor contracts, and sustainability.
Tenant Relations – Maintain strong relationships, resolve lease disputes, rent issues, and service concerns.
Event & Community Engagement – Plan tenant events and foster a positive office culture.
Compliance & Risk Management – Ensure building codes, ADA, OSHA, and liability mitigation.
Leadership & Team Development – Supervise staff, provide training, and enforce best practices.
Crisis & Decision Management – Respond effectively under pressure and make informed decisions.
